How much does a client portal cost? Real numbers from five vendors
Honest pricing breakdown of SuiteDash, Dubsado, HoneyBook, Copilot, and Moxo: starter price, top tier, what's actually included, and where the per-tier jumps land.
By ClientNest365 team · Published · 5 min read
The honest answer is: between €0 and €500+ per month, depending on whether you want a free Drive folder with a custom URL on it, or a full white-label workspace with billing, approvals, automations, and an AI helper.
The numbers below are the actual published prices from five named direct competitors, fetched in May 2026. Currency is USD because every vendor in this segment prices in dollars. EUR/GBP land roughly 5-10% lower at current rates.
The five vendors, side by side
| Vendor | Entry price | Top published tier | Pricing model |
|---|---|---|---|
| SuiteDash | $19 / mo (Start) | $99 / mo (Pinnacle) | Tiered, unlimited users + clients on every tier |
| Dubsado | $335 / yr (~$28/mo) | $525 / yr (~$44/mo) | Annual-led, monthly option de-emphasized |
| HoneyBook | $36 / mo (Starter) | $129 / mo (Premium) | Tiered, team-member capped on lower tiers |
| Copilot | $59 / mo (Starter) | $499 / mo (Advanced) | Tiered, AI bundled into Professional+ |
| Moxo | $0 (Free) / $99 (Business) | $499 / mo (Pro) | Tiered with quotas on flows and AI credits |
All five are subscription-only. None offer pay-as-you-grow or one-off client slot purchases. If you only need to serve three clients a year, you still pay the monthly subscription for all twelve months.
What you actually get at the entry tier
The entry price gets you a working portal. The disclaimers below are what entry tiers leave out:
SuiteDash at $19 is the most generous entry tier. Unlimited staff, unlimited portals, unlimited CRM contacts, 100 GB storage, custom-branded mobile app. The trade-off is the learning curve: setup decisions cascade because the product covers CRM + portal + project management + invoicing + scheduling, all inside one configurator.
Dubsado at ~$28 / mo caps you at one lead-capture form and no automations. To get a second form or any workflow logic, you upgrade to Premier at ~$44 / mo. The cap is aggressive enough that most working firms end up on Premier within their first month.
HoneyBook at $36 / mo caps team members at two and lead forms at two, with no scheduler and no automations. Same upgrade-pressure shape as Dubsado: the entry tier exists to convert.
Copilot at $59 / mo is the highest entry price in the segment. You get the portal, files, billing, messaging, and a single team seat. AI is gated behind Professional ($189 / mo).
Moxo at $0 is genuinely free. Two flows, 500 AI credits, full feature access. The catch is the quota: once you cross two simultaneous workflows you're at $99 / mo (Business), which is a 99x jump for one extra flow.
What the top tier actually costs
The published "top tier" rarely matches what a working firm spends. Add-ons, brand-count overages, extra users, and storage routinely push the bill 50-100% above sticker.
- SuiteDash Pinnacle is $99 / mo published, but G2 / Capterra reviewers report $229+ / mo with VIP / PLUS / PRIME extras turned on.
- Dubsado Premier is $525 / yr (~$44 / mo). Extra users land at $25 / mo (4-10), $45 / mo (11-20), $60 / mo (21-30). A 5-person studio is at $69 / mo all-in.
- HoneyBook Premium is $129 / mo. There are no published add-on multipliers, which is a real strength.
- Copilot Advanced is $499 / mo. Enterprise is custom-quote (six-figure annual contracts in reported cases). AI was previously a $69 / mo add-on; now bundled into Professional ($189 / mo).
- Moxo Pro is $499 / mo with 45 flow quota and 10,000 AI credits. Enterprise is custom; on-prem and private-cloud deployment available.
The 2025 HoneyBook price hike (the data point you should know)
In February 2025, HoneyBook raised every published price:
| Plan | Pre-hike (monthly) | Post-hike (monthly) | Increase |
|---|---|---|---|
| Starter | $19 | $36 | +89% |
| Essentials | $35 | $59 | +69% |
| Premium | $79 | $129 | +63% |
A customer who signed up at $19 / mo in 2024 had their bill nearly double overnight. This is the single most quotable industry data point if you're worried about lock-in risk: subscription pricing isn't fixed pricing, and "grandfathered rates" don't always survive a board meeting.
How to think about total client portal cost
Sticker is not the comparison. Use four levers:
- Floor cost. What's the minimum you'll pay in month 1, including the upgrade you'll need within 90 days?
- Ramp cost. What's the price when you add a 4th team member, a second brand, or 500 GB of file storage?
- Lock-in cost. Annual billing typically offers a 15-25% discount. The trade-off: if the product disappoints, you're committed for 12 months.
- Hidden cost. White-label branding, custom domain, and AI features are routinely tier-gated or add-on'd. Build the real total before you sign.
For a 4-person agency serving 15 clients, with branding turned on and one extra brand, expect:
- SuiteDash: ~$50 / mo (Start + extra storage)
- Dubsado: ~$60 / mo (Premier + 1 extra user + 1 brand)
- HoneyBook: ~$129 / mo (Premium, unlimited team and brands included)
- Copilot: ~$189 / mo (Professional, AI included)
- Moxo: ~$99 / mo (Business)
Where the "no subscription" model fits
The five vendors above all sell a monthly subscription. That works for steady, predictable client volume. It works less well when:
- You're a boutique firm taking on three clients this quarter and zero next quarter
- You're a fractional operator running 1-2 clients on retainer
- You're a seasonal business (tax-season accountants, summer event planners)
- You're a freelancer who'd rather buy capacity than rent it
For those cases, a per-client model is cheaper: pay €15 for three client slots, €75 for twenty-five, €500 for unlimited for a year. You buy what you need, you don't pay during gaps. If that fits your shape, a free 3-client workspace starts at €15 with no recurring charge.
Final note on accuracy
Vendor pricing changes. Every number above was sourced directly from the vendor pricing page in May 2026; the HoneyBook hike specifically dates to February 2025. We re-audit annually. If you're seeing a different price on a vendor's site, theirs is current and ours is stale. Send us a note at hello@clientnest365.com if you want us to refresh the table.
For a feature-by-feature comparison of these vendors on the same axes, the features guide walks through 11 capabilities every modern portal should handle. For the more fundamental "do I even need this versus a folder?" question, the file-sharing comparison is the place to start. If you're new to the category, what is a client portal? is the plain-English overview. For an ROI sanity check, is a client portal worth it? does the math.
