Refund Policy

Short version: unused slots within 14 days of purchase are refundable. Used slots, expired promotional credits, and the consumed portion of a partially used pack are not.
1. What's refundable
- Unused slots within 14 days of purchase. If you bought a slot pack and haven't used any of the slots yet, we'll refund the full purchase price within 14 days of the transaction date.
- Unused storage within 14 days. If you bought a storage add-on and your workspace storage usage hasn't exceeded what you had before the purchase, the storage add-on is refundable within 14 days.
- Custom branding and custom domain within 14 days, if not configured. If you bought the branding upgrade or custom domain but haven't configured a logo, colour, or DNS record, it's refundable within 14 days.
- Agency Plan within 14 days of first purchase. First-month Agency Plan subscription is refundable within 14 days if no slots from the plan's included allocation have been used. Subsequent months are non-refundable but can be cancelled at any time from your workspace.
2. What's not refundable
- Slots that have been used to invite a client (even if the client never logs in).
- The consumed portion of a partially used pack. We refund unused slots only.
- Promotional credits applied at checkout (e.g. discount from WELCOME10). The discount itself isn't cash.
- The unlimited annual slot pack after 14 days have elapsed since purchase.
- Agency Plan subscription charges from a prior billing month.
- Custom domains where DNS has been configured (because we've provisioned infrastructure on your behalf).
3. How to request a refund
Email billing@clientnest365.com with:
- Your order number (format: CN-YYYY-MM-DD-XXXX).
- The email used on the order.
- A brief reason if you're happy to share. It helps us improve.
4. How long it takes
Approved refunds are processed within 5–10 business days. The funds return to the original payment method. Some banks take a few additional days to reflect the credit.
5. Disputes and chargebacks
If you have a billing concern, please contact us first. We resolve most issues within a business day. Filing a chargeback before contacting us can delay resolution and may result in account suspension while the dispute is in progress.
6. Partial refunds
Where a pack is partially used, the refund covers only the unused slots, valued at the per-slot price of the pack. Example: bought a 10-slot pack at €35, used 2 slots within the 14-day window → refund of €28 for the 8 unused slots.
7. Goodwill exceptions
We sometimes refund outside these terms as a goodwill gesture. For example, if you bought the wrong pack by accident, or if our service was down when you tried to use it. Email billing@clientnest365.com and tell us what happened.
8. Statutory rights
This policy doesn't affect your statutory rights as a consumer under [to be set before deploy] or EU consumer law. Where statutory rights are more generous than this policy, statutory rights apply.
