Getting set up
Which emails go out, and to whom
Every email ClientNest365 sends for your workspace: what you receive when a client acts, what clients receive when you do, and who replies reach.

ClientNest365 sends a small number of emails so that neither you nor your clients have to keep checking the portal. This page lists all of them.
Emails you receive
These go to your sign-in email:
- A client sent a message.
- A client approved something or asked for changes, with their comment if they left one.
- A client uploaded a file.
- A reminder for a deadline with no client, 14, 7 and 1 day before it is due.
- A weekly summary on Monday mornings of what happened across your clients in the past week.
Each email names the client and links to the right page in your workspace.
Emails your clients receive
These go to the client's email address:
- Their invite, and any fresh sign-in link you send or they ask for.
- A message from you.
- A new approval waiting for them.
- A file you shared with them.
- A new document request, for example from a scheduled checklist.
- An invoice you sent, with a link to view it in their portal.
- Deadline reminders for their deadlines, 14, 7 and 1 day before the date.
Client emails come from "[Your workspace name] via ClientNest365". Invoice emails come from billing@clientnest365.com; the rest come from noreply@clientnest365.com. When a client replies to any of them, the reply goes to your sign-in email, not to us.
Fewer emails during a conversation
If you and a client trade messages quickly, you do not get an email for every one. When the same person has already sent a message in that thread in the last 10 minutes, no new email goes out for the next message. The messages themselves always appear in the portal.
Webhooks
If you want events in Slack, a spreadsheet or your own tools rather than in your inbox, add a webhook in Settings → Integrations. Each webhook has its own signing secret, shown once when you create it, and you can pause, resume or delete it there and see its recent deliveries. Webhooks are separate from these emails; adding one does not turn any email off.
Demo workspaces
The public demo and demo workspaces never send email. Nothing you do in them reaches anyone's inbox.
Something not arriving?
Ask the person to check their spam or quarantine folder first, and to add clientnest365.com to their safe senders. If emails still do not arrive, write to support@clientnest365.com with the address and roughly when the email should have gone out.
