How to archive or remove a client

Archive a client to pause their portal and keep their slot, or remove them to end access and free the slot. What happens to their files and invoices.

Audience: owner · 1 min read · Updated

When work with a client ends, or you added one by mistake, you can archive or remove them. Both are on the client's page in your workspace.

Archive: pause the portal

Archive a client when the work is paused or finished but you may pick it up again.

  • The client can no longer open their portal. If they try, they see "This portal is no longer active."
  • Everything stays as it is: files, messages, approvals, invoices and deadlines.
  • The client still uses a slot.
  • You can restore an archived client from their page at any time. Their portal works again straight away, and if their sign-in has ended, send them a fresh link.

Remove: end access and free the slot

Remove a client when you will not work with them again, or you created them by mistake.

  • The client can no longer open their portal, and any invite links you sent that were not used stop working.
  • The client disappears from your client list.
  • The slot is freed, so you can add someone else in their place.
  • Their files, messages and invoices are not deleted. They are kept for your records, for example invoices you may need for your accounts.

Removing a client cannot be undone from your workspace. If you removed someone by mistake, write to support@clientnest365.com and we will see what we can do.

How slots are counted

Every client that has not been removed uses one slot, archived clients included. So:

  • To make room for a new client, remove one you no longer work with. Archiving does not free a slot.
  • Your slot count is on the Billing page.

Deleting your whole account

Removing clients one by one is different from closing your workspace. To export your data or delete your account, open Settings → Security.
